Summary of Position:

The Events Associate collaborates with multiple departments to coordinate both internal and external activities for the Food Bank of South Jersey. The position will assist with initiatives that support the organization’s mission and fundraising goals. This role includes working closely with team members and volunteers to ensure successful event outcomes. Acts as a support for the Fund Development department’s donation processing and front office desk coverage. In addition, will work closely with HR on employee events and initiatives. The successful candidate will have a flexible can-do attitude and a willingness to pitch in whenever needed. No task is too big or too small when it comes to meeting our goals. This is an onsite position.


Position Responsibilities:


  • Project management for internal and external events including fundraising (i.e. annual gala and spring fundraiser) and HR initiatives and events (i.e. employee staff meetings, employee activities and cultural milestone celebrations)
  • Schedule, plan and coordinate FBSJ meetings, events and training to ensure excellence in presentation and experience, ensuring attendee and sponsor satisfaction.
  • Manage the event lifecycle, including but not limited to, vendor logistics, sponsorships, silent-auction acquisition, guest lists and seating charts, among other responsibilities.
  • Internal communications initiatives, such as keeping both the intranet and internal company websites, as well as organization charts up to date; basic graphic design (Canva, etc.), and writing basic employee event notifications or communications.
  • Responsible for processing expenses related to events.
  • Serve as backup for Front Desk Associate for lunches and PTO days. Serve as backup for mail and donation processing.
  • Perform all other duties as assigned.

Education:

  • High School diploma or equivalent.

Experience and Skills:


  • Two years of experience in event planning.
  • Strong level of proficiency with technology, including MS Office applications, Google or OneDrive documents and Canva or other graphic program.
  • Excellent organizational skills, with an ability to prioritize important projects.
  • Excellent communication skills for in‐person, email, and telephone calls.
  • Excellent skills in written English to create documents, reports and meet tight deadlines.
  • Ability to work in teams in a diverse and dynamic environment.
